I know I need a VA but HOW do I implement you??

How do I actually get you onboard?

If you’re running a psychology, coaching, therapy, or wellness practice, chances are you’ve thought, ‘I definitely need a VA, but how on earth do I implement one without things turning into a huge headache?’.

Trust me, you’re not alone. It’s a very common question and the answer is simpler than you think.

First off, breathe. Having a Virtual Assistant isn’t the big, complicated overhaul of your existing systems that you’re possibly thinking it is. Think of me like a friendly extra pair of hands, jumping straight into your current setup without making you reinvent the wheel.

So, what does ‘getting started’ actually look like?

Well, once you decide to bring me on board, the main thing I need is access. That usually means a peek at your emails and your booking system, nothing complicated. As soon as I have that, I’m basically ‘in’. I can help manage appointments, answer client queries, and take care of the admin bits that pile up between sessions.

No huge software migration, no complex new tools to learn, no multi-hour training sessions. If you can send me your login details for your calendar or booking software and whip up an email invite or two, you’re 90% of the way there. I’m trained to work with all sorts of platforms, think Calendly, Acuity, Google Calendar, Microsoft Outlook, Cliniko, WriteUpp, you name it, and I’ll slot right in.

And don’t worry about security or feeling like you’re handing over the keys to the kingdom. I handle everything professionally and confidentially, just like your best receptionist but from wherever I am. Your info stays safe and sound. (read my reasons for taking confidentiality seriously here on my ‘About’ page.)

Of course, every practice is unique, and I’m happy to tailor things exactly how you like, be it reminders for clients, follow-ups, or helping you juggle tricky scheduling. You don’t need to outline every little task upfront. We start small, with maybe just appointment bookings or sorting your emails, and grow from there as your time frees up.

The best part?

You get your evenings and weekends back. Imagine not having to scramble after sessions to clear that inbox due to playing email pingpong with a client who cant make this date and you dont have availability at that time, or reschedule clients because of that missed email. You get more time to focus on your clients, write your programmes, or just switch off guilt-free after work.

So really, implementing a VA isn’t some invisible tech hurdle. It’s more like handing over your back office while you do the magic you were trained for, and love.
