What it means to work with a Specialist Medical VA
So much more than admin..
If you’ve landed here, you’re probably curious about what a Medical VA actually does and how we differ from the more familiar world of general admin support.
You might be a clinician, founder, or someone building something meaningful in healthcare.
You’re probably not looking for someone to tick the tasks off. You’re looking for someone who understands the weight of your work, the language you speak, and the people you help.
My qualifications
Diplomas in Business Administration, Office Management and Primary Care and Health Management.
My undergrad - 2:1 in Adult Nursing Bsc.
My postgrad - ‘Distinction’ in Mental Health Nursing
All of these allow me to call myself one heck of a Specialist Medical and Healthcare VA. I work with clinicians, and founders who need more than admin, you need clarity, emotional intelligence, and someone who can hold complexity without flinching.
The type of multitasking that comes naturally to nurses!
But here’s what that looks like in practice;
I understand the medical language.
Medical terminology isn’t just jargon to me. It’s a language we need to be fluent in. I understand anatomy and physiology, I know the difference between a beta blocker and a benzodiazepine, and I can navigate clinical notes just fine.
I.e. 66 y/o M, PMH T2DM CHF. PC ↑ SOB, B/L LL oedema, reduced ET 1/12. No CP.
Obs: BP 138/82, HR 92 reg, RR 20, SpO₂ 94% RA, T 36.8°C
Look familiar? It does to me too. Its a language ‘civvies’ wont understand.
This means I can transcribe, summarise, and communicate with accuracy. I wont mistype a medication or confuse a diagnosis. I’m not just supporting your operations, I’m safeguarding your credibility.
Confidentiality is my default
In healthcare, confidentiality isn’t a nice-to-have, it’s non-negotiable, a legal requirement plus I have had my own breached in 2014 when I learnt I had meningitis from a colleague I worked with.
Turned out a HCA looking after me on HDU text my colleague informing her before I had been told. Nice eh!
This means I uphold this legal right without query or question and I operate with discretion, clarity, and a deep respect for the emotional weight of sensitive information.
I communicate with vulnerable clients, with care.
Many of the people you treating are navigating trauma, grief, chronic illness, or uncertainty. I know how to communicate with emotional literacy and strategic calm. I understand when to soften a message, when to escalate a concern, and when silence is more powerful than a reply.
This is especially vital. I help your clients feel seen, not just processed.
I understand medications and their implications
From scheduling medication reviews to flagging potential contraindications, I bring with me pharmacological awareness. I understand drug classes, dosage forms, and the ripple effects of polypharmacy.
I’m not here to replace clinical judgment, but I can enhance operational safety and who doesn't want the extra layer of vigilance that helps prevent errors and support informed decision-making.
I’m your right hand wing woman
I don’t just manage your calendar, I help you protect your energy.
I understand the pressures of clinical environments, the nuances of patient journeys, and the operational demands of scaling healthcare ventures.
This is where having someone skilled in both admin and healthcare really works nicely as Im aware of the complexities of what you are dealing with and can accommodate that in your diary and your business. Scaling while doing everything yourself is just not possible without approaching burn out rapidly and possibly losing everything you have built.
To sum up; as who in our world doesn’t love a conclusion at the end of a report or thesis - working with a Medical VA isn’t about delegation we are about collaboration. It’s about choosing someone who understands the body, the system, and the soul of your work.rachel@circuit-assist.co.uk
