Introducing the Specialist Medical VA you never knew you needed

When I tell people I’m a Specialist Medical Virtual Assistant, I often get a raised eyebrow and a curious pause. ‘A what?’ usually imagining someone who answers emails in a vaguely competent manner while perched on a beach with a cocktail.

Tempting as that sounds, the reality is far more useful to you and far less sandy for me.

I work with psychologists, therapists and coaches like you, who have years of training, expertise and compassion, yet often find themselves spending more time on scheduling, invoicing, chasing payments, or deciphering endless email threads than you do on the work you actually trained for.

And that is where I come in.

Unlike a general VA who might dip into a bit of inbox management here and a splash of diary juggling there, I bring a background steeped in medical and clinical administration. This means I already understand the world you operate in. I know that confidentiality is not a casual promise but a legal and ethical responsibility, see here on my website as to why. I understand that client records, reports and referrals need to be handled with the same precision you would expect within a clinical setting. I know that invoicing is not just about sending a polite reminder but also about ensuring professional credibility. You do not have to explain acronyms, processes, or why a certain document matters. I already know.

The best part? I can take on the behind-the-scenes work that quietly eats away at your evenings, so that you can focus on the human side of your practice.

Isnt your dream to finish your last session of the day and close your notebook/laptop? Yet you’re instead staring down the barrel of unpaid invoices and an inbox filled with half-finished admin.

By hiring specialist support you actually get to have dinner, take a walk, or even (ooooh radical thought) switch your brain off.

I’m working with a clinician who confessed on our Disco Call that her Sunday nights were spent in dread, knowing Monday morning meant trawling through patient emails and trying to plug the gaps in her schedule all the while hating booking in clients on her rest time because they 12 emails in and still no closer to booking the appt! After we began working together, those Sunday evenings became something else entirely. She told me she had started reading novels again, and even said yes to a week long retreat away hosted by a business coach without worrying that her practice would collapse in her absence.

That shift did not happen because she suddenly became more organised, but because she stopped doing everything herself. See the stats on how this can happen here.

I am not here to make you feel guilty for struggling with admin, nor am I here to suggest you should somehow find the time to become an invoicing wizard worthy of a Hogwarts invitation on top of being a skilled, therapist.

Buuuuuuuuuttttt…………..

  • Your expertise lies in helping people navigate their challenges.

  • Mine lies in making sure your professional world runs smoothly, ethically, and efficiently, with a healthy dose of humour to lighten the load.

There is also something to be said for the relationship between a clinician and a specialist VA. I am not just a pair of hands ticking boxes in the background. I am a partner in ensuring your practice thrives.

So why should you, as someone who already has a busy and successful practice, consider working with a medical VA?

  • Because your time is too valuable to be wasted on repetitive admin.

  • Because your clients deserve your focus and energy, not the diluted version of you that has been up until midnight chasing invoices and scheduling the emails to them.

  • And, quite honestly, because life is too short to spend it wrestling with scheduling software when you could be spending it doing meaningful work, or perhaps even enjoying yourself outside of work.

If this all sounds like the kind of support you did not even realise was possible, I invite you to reach out. A short conversation can reveal just how much lighter your workload could feel with the right expertise by your side.

You built your career to help people transform their lives. I built mine to help people like you have the freedom to do exactly that, without the admin weighing you down.
